Note that importing data into a PRM file should not be done if there are multiple users accessing the main PRM file unless all users are made aware that the import might overwrite what they are working on.

To import one or more processes select the 'Import' option on the Control Tab. This will bring up a file requester window for you to select an import file. If you decide that you don't want to import, just press cancel on the file requester. If the reporting options are set to 'All' (see Changing Settings) then a message will be displayed indicating that no file was selected

otherwise you will just be returned to the main PRM form.

If an import file is selected a progress bar will show progress on importing. Please see Import Export File Format for a description of the Excel file.

When complete, a form will show you the results of the import. Note certain checks are performed on the consistency of the import file which will be displayed on the displayed form.

If the option for creating a backup before import, see Changing Setting, is set then a backup of the PRM will be created and will be available to restore from if anything goes wrong or the import is not as you wanted.

By default all valid processes will be imported, i.e. high-lighted in orange.

By using the filtering boxes below the list of processes you can exclude certain processes, e.g. pressing 'ORG.1' will remove all the ORG.1 processes.

Or you can use a combination of filters, for example remove ORG.1 and the defined process 'Business Management Organisation'

And additionally to remove a specific Outcome such as ORG.2.OU.1

There are a number of rules that must be considered:

Do not fix base practices from different processes, outcomes or defined processes

Always start the outcome with the first valid Base Practice for that outcome. For example the first outcome will always start with BP.1. For subsequent outcomes the base practice will follow-on from the last base practice from the previous outcome, so for example with Human Resource Management, the first base practice for outcome 2 is BP.8.

All base practices must be present for an outcome if that outcome is included.

Outcome information must be within the entry for the first base practice of that outcome.
